New Hire Paperwork and Payroll Information

Prior to New Employee Orientation, employees must complete several forms as part of the new employee sign-in procedure, which must be completed, correct, and submitted to Employment Services & Records before employees can be added to the payroll. Employees are strongly encouraged to print, complete, sign, and bring the interactive forms to their department prior to their New Employee Orientation session.

Direct Deposit

Participation in the direct deposit program is a mandatory condition of employment. If an employee fails to participate, or fails to obtain an approved exemption from participation, then employee has not met a condition of his/her employment, and may be subject to progressive action up to, and including, termination. Paycheck Information

Assuming that all required new hire paperwork is submitted by the established deadlines, employees will be paid in accordance with the biweekly payroll check dates.

New Employee Orientation Information

New employees must attend a full-day session to complete HR New Employee Orientation. Your department should help you select an orientation date when completing your New Employee Sign-In paperwork.

New Faculty Academic Orientation Information

New Faculty Academic Orientation – In addition to the New Employee Orientation provided by HR, new faculty are required to attend a New Faculty Academic Orientation. The Academic Orientation will be held on the Orlando campus in the Student Union. Please visit The Karen L. Smith Faculty Center for Teaching & Learning’s website.

Benefits Information

Employee Benefits Guide – The Employee Benefits Guide should be used in conjunction with New Employee Orientation, where you will learn about the available plans, how to enroll and other important information. As a new employee, it is extremely important to attend New Employee Orientation to gain a full understanding of all insurance/retirement plans and the pertinent information, as this guide is only a condensed overview.

Insurance Coverage – Review the available Insurance to see what plan works best for you. New Employees must enroll through the insurance administrator, People First (link to PF website or contact via phone 1-866-663-4735), within 60 days from their date of hire. If you do not enroll within your new employee election period, you may do so during Open Enrollment, which takes place each fall from September to October. All Open Enrollment elections are effective January of the following calendar year.

Retirement Plans – Review the available Retirement plans to see what plan works best for you. New employees must submit enrollment forms to Human Resources by the deadlines listed in the New Employee Benefit Guide. Your position also determines what plans you are eligible for.
