  1. After the interviews have been completed and a decision has been made to offer the position to one of your applicants, the following documents in your recruitment package should be completed and returned to Recruitment for review/approval prior to job offer:
    1. Recruitment Request Form with Step 3 completed
      • Completed applicant log indicating which applicants were interviewed and the reason the applicant was not interviewed.
      • Completed Interview Record forms for each applicant interviewed. (Extra forms are on the website)
      • Perform at least 2 Telephone Reference Checks on the selected applicant (one from last employer).
      • Copy of Job Offer letter (Mail original to applicant after packet is approved by HR).

  2. The recruitment package will be reviewed/approved in Human Resources. If there is a problem with the package, the certified interviewer will be contacted immediately by a member of the Recruitment staff. It is our goal to review the packet within 2 business days.

  3. The Hiring Department must contact the selected candidate to make a formal offer of the position after Recruitment has approved the recruitment package. Below is a suggested dialogue.
    Hello, my name is Kelly Davis. I am calling from the University of Central Florida's Physical Plant. I would like to extend a job offer for the position of Custodial Supervisor. The bi-weekly salary is $946.59 or $24,706 annually. The work hours are Monday through Friday, 8am - 5pm, with a one-hour lunch break. Would you like to accept this job? Can you give me a start date or do you need to call me back after discussing this with your current supervisor?
  4. If applicant accepts the job offer, ask them to report to their workstation at 8:00 a.m. on their first day of employment. If the new employee will need a temporary parking decal, contact the Human Resources Records section. We will issue a temporary pass. We can mail it to your new employee, or you may make arrangements to pick it up in Human Resources. Inform new employees that they will be required to purchase a parking decal if their position necessitates that they work on campus or frequent the campus on a regular basis. A representative from Records will contact them to set up an appointment for New Employee Sign-In. They should bring two forms of identification from the I-9 list.

  5. New Employee Sign-In normally takes one hour. During this sign-in session, the new employee will be scheduled for new employee orientation, which is held in the Human Resources Training Room twice a month from 8:30 a.m. - 4:00 p.m. Records will schedule new employees with the earliest available new employee orientation date. New employees must complete the sign-in process within three business days after the date of hire.

  6. Advise new Staff employees that they will be on probation for six months and evaluated in their fifth or sixth month of employment. (The Law Enforcement Officers require a one-year probation period.)

  7. Recruitment will initiate police background checks with Florida Department of Law Enforcement for all Staff and A&P positions. Work history/education credits will be verified as required by the Division of Colleges and Universities minimum class specifications. Negative results will be reported immediately to the hiring official(s).

  8. Departments should maintain copies of search notes, interview logs, interview questions, etc., for a period of three years from date of job offer.
