Please read these instructions carefully before completing the
Position Description form.
The Position Description form is used to obtain basic information
about the position, to analyze the assigned tasks, and to determine
the classification of the position. First, prepare your answers
in rough draft on a separate sheet of paper. When you are sure your
statements are complete and accurate, have the position description
typed.
A. CURRENT DESCRIPTION DATA
• Enter the current Position Number.
• Indicate the Position Action being requested (Establishment
for new position, Update for revised position descriptions with
no requested change in class, and Reclassification for requested
classification changes).
• Enter the Current Class Code and Class Title and the Proposed
Class Code and Class Title, if a change in class is requested.
• Indicate the Vice Presidential Division in which the position
is located.
• Enter the College/Office (if applicable).
• Enter the Department.
• Enter the Section (if applicable).
• Enter the Subsection (if applicable).
• Enter the name of the City where the work site of the employee
is located. If work is done in more than one city, give the name
of the city where the majority of working time is spent.
• Enter the name of the County where the work site of the
employee is located. If work is done in more than one county, give
the name of the county where the majority of working time is spent.
B. ASSIGNED TASKS
• Explain the Specific Assigned Tasks, in order of importance
and indicate after each task whether the task is regular (performed
daily or almost daily), periodic (performed at intervals) or occasional
(performed now and then).
• Indicate with an [X] in the column of Essential Tasks which
assigned tasks are considered essential to the position. (Essential
tasks are the core tasks of a position that represent its primary
purpose— they are the essential reason that the position is
budgeted for and maintained. Essential tasks generally cannot be
delegated from one position to another because if they were, they
would erode the purpose of the position.)
• Indicate with an [X] in the column for Other Assigned Tasks
which tasks (other than the essential tasks) are also assigned to
the position.
• Indicate the Estimated Time Spent per week on each task
as a percentage. The total percentages should equal one hundred.
C. WORKING CONDITIONS AND RELATED INFORMATION
• Provide class titles and position numbers of employees under
the direct and formal supervision of the position-excluding student
assistants. If the position does not supervise employees, write
"none."
• Indicate the type of instructions of directions normally
given to the employee. How detailed are the instructions? Are they
verbal or written, or both? Are detailed instructions necessary
after the orientation period? Are special instructions necessary
with each assignment?
• List the daily Working Hours; give the total amount of hours
worked per week; and explain, if applicable, any variations such
as split, rotating, etc.
• List any major types of Machines or equipment used by the
employee on the job and the approximate percentage of working time
spent in the operation of such.
D. KNOWLEDGE, SKILLS, AND ABILITIES (KSA's)
• The knowledge, skills, and abilities (KSA's) identified
on the position description represent those needed to perform the
duties and responsibilities of the position. Determine the entry-level
KSA's by reviewing the tasks indicated in Section B. It is important
that the KSA's are directly related to the duties; that is, they
are needed to perform the job satisfactorily. List the entry-level
KSA's in order of importance, attaching additional sheets, if necessary.
• In order of importance, list the specific Physical and Mental
Qualifications that are required to perform the essential tasks,
i.e., tasks that represent the most important functions of the position.
The University of Central Florida provides reasonable accommodations
to handicapped employees. Supervisors are encouraged to be innovative
and sensitive in finding ways to keep employees fully productive.
Most positions at the University of Central Florida will list physical
qualifications that are required. List the specific mental qualifications
required to perform the essential tasks. The minimum educational
level in the State University System class specification may serve
in most cases. For positions without an established minimum educational
level, a statement of demonstrated ability may be used (i.e., ability
to follow written or verbal instructions).
• List the types of licenses, certificates and other special
requirements necessary to perform the tasks of the position.
• If a requirement of this position includes approval and/or
processing vendor's invoices, check "yes," if no such
responsibility is exercised, check "no."
E. CLASSIFICATION CHANGE ACTION
• If the tasks assigned to the position have changed since
its initial establishment of last reclassification, note the specific
tasks that have been added, taken away, or changed in some manner.
F. SIGNATURES
• Obtain all appropriate signatures on the position description.
For position establishment and reclassification actions, please
submit the request to the vice president for approval. Position
description update requests can be submitted directly to Human Resources.
